Microsoft 365 vs Google Workspace: which is right for your business?

If your team still uses free Gmail or Yahoo addresses — or an old email account from your web host — moving to a proper business email platform is one of the quickest ways to look more professional and work more securely. The two big options are Microsoft 365 and Google Workspace. Both are excellent. The right choice depends on how your team actually works.

What you get with either one

• Email on your own domain, like you@yourcompany.in
• Shared calendars and contacts
• Cloud storage for files, with sharing controls
• Video meetings — Microsoft Teams or Google Meet
• Admin controls to add or remove users, reset passwords and enforce two-step login
• Strong protection against spam, phishing and malware

Choose Microsoft 365 if…

• Your team lives in Excel — accounts, costing, MIS reports and ERP or Tally exports.
• You prefer Outlook on the desktop.
• You need the full desktop versions of Word, Excel and PowerPoint (included in some plans).
• You already use Windows PCs and want everything to work smoothly with Teams and OneDrive.

Choose Google Workspace if…

• Your team works mostly in the browser or on phones.
• Several people often edit the same document at the same time.
• You want the simplest possible setup and administration.
• Your staff already know and like Gmail.

What about cost?

Both charge a monthly licence per user, with several plans at different price points. Prices change from time to time, so always check the current rates — or ask us for a quote. Two ways to keep the bill down:

• Not everyone needs the top plan. Staff who only need email can often be on a cheaper plan than managers who need the full Office apps.
• Role addresses don't need their own licence. Addresses like sales@ or accounts@ can usually be set up as shared mailboxes or groups.

Can you switch later?

Yes. Your email addresses stay the same — only the system behind them changes. A proper migration moves mail, contacts and calendars across in the background, and your team barely notices the switch.

What if you have lots of users?

The bottom line

Excel- and Outlook-heavy? Go with Microsoft 365. Browser-first and collaborative? Google Workspace. Either way, the setup matters more than the brand: correct DNS records (SPF, DKIM and DMARC), two-step login for every user, and a clean migration make the real difference.
